Meeting of the Trustees,Management Committee and Members

1. Agreed minutes of previous meeting

2. Arrangements for the various community activities and requests for support across the winter:

  • The template for making the lanterns for the opening of the Victorian weekend on Friday, 6 December has been provided. 60 lanterns in total to be made.

  • The replacement sand pit (in memory of Mike Fenby) for the pre-school is a job that will be done in the Spring

  • Stuart to contact Anne Hutton and visit the church with a few of the members to see what needs to be done and decide how we might be able to help.

  • We have been approached regarding some willow weaving instruction for interested members – Elaine will liaise with the instructor.

  • Lance will liaise with the local Guides regarding their request for a supported ‘making day’.

  • Members are asked to act as marshals for the lantern parade on Friday, 6 December - Stuart will update with timings.

3. Finance and new equipment

  • Lance has loaned a specialist dust extractor and cyclone to assess whether a similar machine would meet our needs

  • A new, larger, sander is being bought from the college

  • It was agreed that Martin will hold all cash reserves

  • The arrangements for sundry expenditure work well

  • Net cash in bank is around £8,250


4. Matters arising from roles within the Management Committee

  • Nominated keyholders – no issues

  • Health & Safety – no issues

  • Electrical checks – completed and certified October 2024

  • General maintenance issues and heating – appropriate heating to be considered by Lance and Olly and ideas brought to the next meeting

  • Outdoor paintwork to be done as weather permits.


5. Victorian Weekend arrangements

  • It was decided not to open the Shed as few people visit with the concentration of activity and visitors in the old village.

6. DBS Checks

  • Chris and Jean to complete their checks and pass them to Elaine

7. AOB

  • Items brought to us for repair.

    • There have been a few items brought to the Shed by members and others in the community for repair. A number of these items are left for long periods and appear to be ‘forgotten’. There is no formal recording of ownership, contact details or specific understanding of what the owner would like us to do with them and how any costs involved in their repair or refurbishment are going to be covered. To avoid doubt or confusion about ownership it was decided that:

  • All items brought in for repair or refurbishment

    • should be entered into a notebook along with contact details of the owner, what they would like done with them and how any costs are going to be reimbursed. The item should be clearly labelled and the member making the entry is accepting responsibility for the work and communication with the owner.

  • One-off projects.

    • We have had several requests for people to undertake one-off projects. We are happy for this to happen and to provide support and advice to people, but we must ensure that we do this in a sustainable and safe way. It was decided that anyone wanting to do a one-off project should become a member and pay the annual subscription.
