Meeting of the Trustees,Management Committee and Members

1. Agreed minutes of previous meeting

2. Update from Martin on finance

  • Setting up new electricity and water accounts completed

  • Payment of lease to Village Hall underway

  • Update on membership payments - £630

  • Financial outlook – based on current balance (see Martin’s email) income will cover running costs this year.

3. Matters arising from roles within the Management Committee

  • Nominated keyholders – Lance to be given a key

  • Health & Safety:

    • Lance and Martin will merge some of the documentation down to Key Facts to talk through with new members.

    • Lance and Martin will look at new signage to be attached to equipment and the storage and location of the various safety equipment

  • Use and security of external area – Simon to be thanked for providing the gate. The area is now secure.

  • General maintenance issues –

    • Chris has 6 litres of paint for the exterior

    • Chris and Olly to repair the leak

4. Arrangements for Open Day and community engagement – Saturday, October 5 –

  • Bob will produce a poster for Stuart to place on Parish noticeboards.

  • Lance will investigate some branding/vinyl displays that can be used at various events.

5. Friends of Pannett Park / Whitby Town Council – correspondence:

  • It was agreed that we would contribute to making some Fairy Doors for the park. Lance will liaise with the organisers.

6. Victorian Weekend arrangements

  • It was decided to defer a decision on this until the next meeting.

7. Letter from Parish Council regarding our help with overseeing the safety of playground equipment

  • After discussion it was decided that we would not commit members to checking the safety of the playground equipment. Lance will write a letter to the Chair.

8. It was agreed that £200 (raised from car parking)

  • would be given to the Fylingthorpe Monday Craft Group to help fund their activities with local children.

  • go to Sandra and Elaine for all their efforts in making our Summer Party such a success.
